Someone is on your website at 9pm with a question.
Right now they read, guess, and leave. This page explains exactly what changes: how Clerkzo learns your clinic from the website you already have, what it says to that patient, and how their booking ends up on your front desk before morning.
The whole thing, in one picture
Four stages. You are only involved in the first one — and only once. Everything below on this page is a closer look at one of these.
- 1
Your website
The pages you already publish. Services, hours, pricing, insurance, FAQs.
riversidephysio.com - 2
It reads them, once
Clerkzo crawls the site and turns every page into something it can search in a split second.
15 / 15 pages - 3
A patient asks, at any hour
It answers from your pages only — 2pm or 2am, while your front desk is on the phone or at home.
“Do you take Blue Cross?”
answered in seconds
- 4
You get the booking
Their details arrive in your inbox and sit in your dashboard, ready for the front desk to confirm.
New booking request
And it loops back. Read any conversation, correct anything you didn't like, and that answer becomes the verified one from then on. The longer it runs, the more it sounds like your best receptionist.
How it knows anything about your clinic
You give it one thing: your web address. It then reads your site the way a new receptionist would on their first morning — every page, front to back — and keeps what it learns: your services, your hours, your prices, which insurers you take, the answers already sitting in your FAQ.
Anything that isn't on your website, you hand it directly. Upload your price list, your policies, your intake notes — the documents you already email people — and it learns those too.
Then it writes its own summary of what your clinic does and drafts the questions visitors see first. Both are yours to rewrite. Nothing about this step requires you to write content, fill in a knowledge base, or explain your business to a form.
- Reads your live site, not a copy you have to maintain
- Retrain in one click whenever your site changes
- Documents welcome: PDF, Word, Excel, and more
- Writes its own business summary, in your tone of voice

What actually happens when a patient asks
Here is an ordinary Tuesday evening, with the machinery showing. Nothing in this conversation is unusual — that's rather the point.
Hi, do you take Blue Cross? And what does a first visit cost?
Yes — we're in-network with Blue Cross. A first assessment is $95, and follow-up treatments are $70.

Great — could I come in Saturday morning?
I can put that request through for you. What name should I put it under?
Marcus Reid
Thanks Marcus. Best phone number for the front desk to confirm on?

- 1
It checks what you've taught it first
Before anything else, the question is matched against answers you've personally verified. If you've corrected this one before, your wording wins — the model doesn't get a say.
- 2
Then it searches your own pages
No general knowledge, no guessing. It finds the passages on your site that actually address the question, and answers from those — which is why it can show you the page it used.
- 3
It notices a real booking, not small talk
"Do you open Saturdays" is a question. "Can I come in Saturday" is a patient. It only starts collecting details once someone means it, so browsers are never interrogated.
- 4
It asks for details the way you'd ask
One field at a time, in the wording and tone you set. You choose what's collected — name, phone, insurance, anything you add — and whether it asks in chat or shows a short form.
- 5
The front desk has it before the patient closes the tab
The lead is emailed to you with reply-to set to the patient, so hitting Reply answers them directly, and it's waiting in your dashboard with the whole transcript attached.
The three things owners actually worry about
Nobody's first question is “how many themes are there.” It's whether this will embarrass them in front of a patient. Straight answers:
“What if it makes something up?”
It can only answer from your pages and your documents — that's the whole design, not a setting. Ask it something your site doesn't cover and it says it isn't certain and offers to put the patient through to your team, rather than inventing an answer. It also refuses anything that isn't your business: no essays, no medical advice, no being talked into pretending it's something else.
- Answers built only from your own content
- Says “I'm not sure” instead of guessing
- Shows the page it took the answer from
- Refuses off-topic and manipulation attempts
“What if it gets something wrong?”
Then you fix it once. Every conversation is readable in your dashboard; when you see an answer you don't like, you thumbs-down it and type what it should have said. From that moment your version is the verified answer for that question and anything similar to it — permanently, until you remove it. It stops being a model's guess and starts being your clinic's policy.
- Correct any answer in seconds
- Your wording overrides the model from then on
- Applies to similar questions too, not just that exact one
- Every correction is listed, and removable
“What if they just want a person?”
Then it gets out of the way — but not before it gets you the lead. Ask for a human and it takes their name and the best way to reach them, saves it as a priority handoff flagged in your inbox, and alerts you. The patient who would have closed the tab becomes a callback with a phone number attached. This is on every plan, including during your trial.
- Collects contact details before handing over
- Flagged as priority in your leads inbox
- Alerts you the moment it happens
- Included on every plan

Not a pile of emails. A list of people to call back.
Every booking request lands in one inbox with the patient's name, phone and email — tap to call them straight from your phone — plus whatever else you chose to ask, the time it came in, and an unread marker until someone has looked at it.
Move each one along as your front desk works it: New, Contacted, Qualified, Won, Lost. Leave a private note. Search everything. Anyone who asked for a human is badged so you ring them first.
And every request is emailed to you the moment it happens, with reply-to set to the patient — so replying to the alert replies to them. If you'd rather it went to Slack or your CRM, it can post there instead.
You can read every word it ever said. Full transcripts of every conversation, with the page each answer came from — which is where trust in this actually comes from, and where your corrections start.
What you actually have to do
Three things, about ten minutes, no developer. Everything else on this page is the product doing its own work.
Start your free trial
Sign up with your web address and start your 14-day trial. A card is taken up front, but nothing is charged until day 15 — cancel before then and you pay nothing. Starting the trial is what opens your dashboard.
It trains, then you test it
It crawls your site and trains itself — usually under a minute, with a live progress count. Then the playground is your real widget, privately: ask the awkward questions, correct anything wrong on the spot, and set what it collects.
Paste one line into your site
One script tag, with your ID already filled in, pasted once. Every page on your site is covered. There are guides for nine platforms — and if you'd rather not touch your site at all, we'll install it for you, free.
Don't want to touch your website? We'll do it.
Pasting the line of code is the only technical part, and plenty of owners would rather not. Send us a message and our team installs it on your site for you, free, whatever it's built on.
