The value of a custom field is that it turns an unstructured conversation into a record you can sort, filter and act on. Knowing that a lead mentioned a date somewhere in a transcript is far less useful than having that date stored as a field you can search and prioritise by. For businesses where the right response depends on one or two variables, such as location or job type, custom fields are what make the follow-up efficient.
The discipline is restraint. Every field you add is a question the visitor has to answer, and each one raises the chance they abandon the conversation. The test for any proposed field is whether the answer changes what you do next. If knowing the budget changes who follows up or how fast, collect it. If it just goes into a spreadsheet nobody reads, leave it out. Two or three well-chosen fields beat eight that recreate the contact form you were trying to escape.
