Short answer: You quote faster by collecting the right details at the moment of enquiry instead of chasing them afterwards. Most quoting delay is not the quoting. It is the three days of phone tag spent finding out what the job actually is.
The real bottleneck is not writing the quote
Ask any trades owner why quotes take a week and you will hear about being busy, and that is true. But watch the actual sequence and the pattern is almost always the same.
An enquiry arrives with a name, an email and a sentence like need a quote for a new bathroom. You call at six. No answer. They call back at eight while you are having dinner and leave a voicemail. You call back the next lunchtime, get the details, arrange a visit for Thursday. Thursday you visit. Friday you write the quote. Send it Saturday.
Six days, of which the actual quoting took twenty minutes. The rest was information retrieval.
Fix the information problem and everything else collapses. Which means the intervention happens at the moment of enquiry, not in your evening admin routine.
Step one: decide the five things you must know
For every service you sell, there is a small set of facts that determines whether you can price it and roughly what it costs. Write them down. It is almost never more than five or six per service.
A few examples of what those look like in practice:
- Bathroom fit: size, current layout being kept or changed, tiling extent, are you supplying the suite, access, area
- Re-roof: roof type, storeys, rough area, scaffolding access, area
- Regular cleaning: bedrooms, bathrooms, frequency, extras, area
- Removals: date, bedrooms, both postcodes, floors, parking access, extras
- EV charger: parking location, distance to consumer unit, off-street or not, ownership, area
Notice how few of these need a site visit to answer. Most of them are things the customer already knows and would happily tell you, if anyone asked at the right moment.

Step two: ask at the moment of intent, not afterwards
The moment someone decides to enquire is the only moment they will happily answer six questions. An hour later, they are doing something else and your callback is an interruption.
A standard contact form does not use that moment. It asks for name, email and message, then gives nothing back. The customer types a vague sentence because they do not know what you need, and the information gap is created right there.

Step three: publish enough pricing to filter
Most trades resist publishing prices, usually for a good reason: every job is different. But there is a middle ground between a full price list and total silence.
Things that are safe to publish and enormously useful:
- Call-out or diagnostic fee
- Hourly or day rate
- Fixed prices for genuinely standard jobs
- Typical ranges, clearly labelled as ranges, for common project types
- Whether quotes and surveys are free
The point is not to win on price. It is to stop spending an hour quoting someone whose budget is a quarter of your number. Published ranges do that filtering for free, day and night.

Today. Time-sensitive but not dangerous. End-of-tenancy clean with a Friday deadline, an appliance install before a delivery, a repair that is worsening. Respond within a few hours.
This week. Planned projects, quotes, surveys, anything with a long lead time. Respond same day if you can, next morning at the latest.

Step five: reply with something, immediately

How much detail can I ask for before people give up?
More than you think, if you ask conversationally and give something back. Five or six short questions in chat routinely get answered. The same five on a form do not.
Should I publish prices if my competitors do not?
Usually yes, at least ranges and call-out fees. It filters out mismatched enquiries and it makes every automated answer on your site more useful. You lose the customers who were only ever going to shop on price.
What if the details the customer gives are wrong?
Some will be. A rough garden size or a guessed roof type still gets you closer than a blank message, and you can correct it on the call. The goal is a better starting point, not perfect data.
