Short answer: Reply once, fast, with something specific. Then make two or three more attempts spread over about a fortnight, varying the channel, and close the lead out honestly if nothing comes back. The system matters more than the wording, because the reason most enquiries die is that nobody remembered them, not that the email was badly written.
Every business owner believes they follow up. Most follow up once, on the day, when they happen to see the notification, and then the lead quietly falls behind a quote request and a supplier bill. Two weeks later somebody says "did we ever call that woman about the extension?" and nobody has.
The first reply does most of the work
Speed matters, and we have made that case at length in how fast should you respond to leads. But speed alone is not enough if the fast reply is empty.
A good first reply does three things:
- Confirms you read the enquiry. Reference the actual thing they asked about. One specific noun is enough to prove a human is present.
- Answers something. Even partially. A price band, an availability window, a next step. An acknowledgement with no content is a receipt, not a reply.
- Proposes exactly one next action. A time to call. A link to book. A single question. Not a menu of options.
That last point is where most replies go wrong. Offering three ways to proceed feels generous and reads as indecisive. Pick one and make it easy to say yes to.
Build a cadence you can actually keep
Ambitious follow-up sequences fail because nobody sustains them. Design for a bad week, not a good one. Something like this survives contact with reality:
Same day. First reply, by whichever channel they used. If they gave a phone number and the enquiry sounds urgent, call and then email so there is a written trail.
Day two or three. One short chase, different channel from the first. If you emailed, call. If you called and left a message, email referencing it.
Day seven. A useful nudge rather than a chase. Send the relevant case study, availability update, or a genuinely helpful link. Give them a reason to reply that is not just your need for an answer.
Day fourteen. The closing note. Say plainly that you will stop chasing, leave the door open, and mean it. This message gets more replies than any of the others, consistently, because it removes the obligation.
Four touches over two weeks. Stop after that unless they engage. Persistence past the point of interest is not tenacity, it is noise.
Vary the channel, not just the message
The same message sent three times by email looks like a mailing list. The same message by email, phone, and text reads as a person trying to reach you. People also have channel preferences they never state, so rotating gives you three chances to hit the one they actually check.
If your enquiries come through chat, you already have context the visitor typed themselves. Referencing their own words back to them in a follow-up email is disarmingly effective, because it proves the message was not generated in bulk.
Give every lead a state
The single biggest improvement most small businesses can make to follow-up is not a better email. It is knowing, at a glance, which leads are waiting on you.

Write follow-ups a person would send
A few habits that raise reply rates without any cleverness:
- Short subject lines that name the thing. "Your loft conversion quote" beats "Following up on your recent enquiry."
- No preamble. Delete the first sentence of your draft. It is almost always throat-clearing.
- One question per message. Two questions produce zero answers more often than you would expect.
- Plain sign-off. Nobody has ever converted because of an email signature with three social icons in it.
- Never open with "just checking in." It is the phrase equivalent of a shrug and it tells the reader you have nothing to say.
Close leads honestly
Marking a lead as Lost feels like admitting failure, so people leave things in limbo indefinitely. That is worse. An unclosed lead occupies attention, distorts your sense of the pipeline, and stops you noticing that this month's real enquiry volume is down.
Close them. Write one line about why. Over a quarter, those lines become the most useful marketing document you own, because they tell you exactly which enquiries you keep failing to convert and why. Price, timing, coverage area, response speed. The pattern will be obvious and it will probably surprise you.
Catch the ones you would otherwise never see
Follow-up only applies to enquiries you received. The larger loss is the visitor who read three pages at 10pm, found no way to ask a question, and left.
